Reading invoices out of email and filing them automatically
How a small workflow reads incoming invoices, checks them and files them where your team already looks.
Most of the time spent on incoming invoices does not go into decisions. It goes into handwork. Open the file, read off the amount and number, name it correctly, drop it in the right folder. That is exactly the part a small workflow can take over, without changing your bookkeeping.
What the workflow takes over
- An invoice arrives by email at a fixed mailbox.
- The workflow reads out the sender, invoice number, date and amount.
- It checks simple rules, such as whether a number is duplicated or a required field is missing.
- It files the document, named and sorted, in SharePoint or OneDrive, and flags doubtful cases to a person.
Where the data stays
For many small firms Microsoft 365, which they already use, is enough for this. With a tenant in the EU the content stays inside the EU Data Boundary. So you do not need another provider to hand your invoice data to.
What it does not take over
Being honest matters here. A workflow like this does not replace bookkeeping or a tax review. It removes the repetitive handwork and makes sure every invoice sits in the same place, in the same pattern. The actual approval stays with a person. That is how it should be.
When it pays off
As a rule of thumb, from about a handful of invoices a day you feel the difference. Below that, the effort to build it often outweighs the gain. Whether you take a finished tool or build a small workflow of your own is a separate question, which I cover in buy finished software or build your own.
Common questions
Do I need new software for this?
Usually not. In many firms the workflow can be built with Microsoft 365, that is, with tools you already pay for. Only when the checking gets more complex does something custom pay off.
Does the data stay in the EU?
With a Microsoft 365 tenant in the EU the content stays inside the EU Data Boundary. Where exactly your data sits can be set in the contract and the settings.
Does this replace my bookkeeping?
No. The workflow removes the repetitive handwork, that is, reading out, naming and filing. The accounting review and approval stays with you or your tax advisor.

This is what I sort out every day.
Which applications, which provider, where the data lives. This is exactly what I work out for small and mid-sized businesses. If that is on your plate, let us talk.
